Cancellation Policy - Fall 2023 Event

Costs are incurred by the event organizers for all cancellations and changes (non-refundable credit card processing fees and administrative fees). Our cancellation policies are designed to offset these costs and to ensure the sustainability of the event for others. These policies are final. 

Virtual Course Registrations

  • Virtual course registrations are non-refundable. 

  • If your schedule changes and you are no longer able to attend some sessions, you can still access all recorded content any applicable CME credits for six months following each session date.

  • You will also continue to have access to online group discussions, receive the CWIM Leaders workbook & have a swag box delivered to your door!

In-Person Registrations

  • Cancellations until August 16th, 11:59pm ET:​​

    • Full refund minus $100 administrative fee

    • Option: convert registration to virtual with a refund for the difference in fee ($100 administrative fee is waived)

  • Cancellations August 16th onward:

    • In lieu of a cancellation, your registration will be converted to virtual, with no refund for the difference in fee.

    • Virtual course registration is valued at $695 and includes a swag box shipped to your door, access to all virtual sessions, any applicable CME credits, and access to the recordings on-demand for six months following each live session. We are pleased to be able to offer this to those needing to cancel close to the event, when typically there would be no refunds or concessions.

CWIM Gather is not responsible for any hotel and/or travel costs, or optional activities costs incurred by participants who need to cancel their in-person registration.

In-Person Registrations

  • Cancellations until January 10, 2024 11:59pm ET:​​

    • Full refund minus $100 administrative fee

  • Cancellations January 11, 2024 onward:

    • Full registration amount paid is non-refundable.

CWIM Gather is not responsible for any hotel and/or travel costs, or optional activities costs incurred by participants who need to cancel their in-person registration. 

Force Majeure

If the CWIM Leaders Organizing Committee determines that the event cannot be held in-person due to COVID-19 (either due to Public Health guidelines or a large number of cancellations due to the COVID-19 situation worsening in Canada) all registrations will be automatically converted to virtual with the difference in registration fees refunded in the case of the Fall 2023 event and the event will be held virtually in the case of the Spring 2024 event. The cancellation policy above will still apply. 

This also applies to any other unforeseen emergencies that would restrict the ability to hold an in-person event including strike, lock-out, riots, insurrection, war, pandemic, natural disaster or weather emergency restricting travel, government-imposed lockdown, act of God. 

The event organizers reserve the right to change the schedule or replace a speaker if unforeseen circumstances arise. CME credits for any and all sessions are not guaranteed until an official announcement has been made.
